Documentation

Documents people will use.

Documentation covers creation, review, integration and alignment of management system documents. We write clearly, structure logically and produce documentation that serves the business rather than existing to satisfy an auditor. Controlled, current and proportionate to what the business needs.

Need documents that work, not documents that pile up?

Sound familiar?

Your documentation library has grown out of control?

Over time your document library has expanded to the point where nobody knows what is current, what is relevant or where anything is.

We audit your documentation, remove what is not needed, update what is out of date and give you a controlled library people can navigate.

Your documents do not reflect how you actually work?

Procedures and work instructions were written some time ago and no longer match the way tasks are carried out.

We review, rewrite and align your documents so they reflect how the business operates, without over-egging the detail.

You have two document sets to rationalise after a merger or acquisition?

You now have two management systems that need to be brought together into one coherent documentation structure.

We map, review and integrate both document sets into a single, aligned library that serves the combined business.

You are starting from scratch and do not know what you need?

You need to build a document library for certification or accreditation but do not know which documents are mandatory and which are padding.

We assess your business, your standards and your operations and design a documentation structure around what youneed, not what a template toolkit assumes every business needs.

Problem solved!

A documentation library that is controlled, current, proportionate and used by the people it is meant to serve.

Mini FAQs

Documentation covers everything from high-level policies and strategies through to plans, specifications, work instructions, forms and records. It does not have to mean paper or PDFs. For modern science and technology businesses, the most effective controls are often embedded directly in digital workflows, IT platforms and operating systems, reducing the documentation burden while improving consistency and auditability. We help you find the right balance for your business rather than defaulting to a library of Word documents because that is what auditors used to expect.
Most management system standards are not prescriptive about documentation, they set requirements not a document list. The right answer depends on the size and complexity of your business, the competence of your team, the standards you are implementing and how much of the work can be done through training, IT systems or good working practices rather than written documents. We make that judgement with you rather than defaulting to a template toolkit that assumes every business needs the same documents.
We have a library of starting-point templates built up over years of project work, but we adapt them to your business rather than rebranding generic documents with your logo. A document that does not reflect how you work is worse than no document at all as it misleads auditors and confuses the people who are supposed to follow it.
Yes. We work within your existing document control processes and platforms wherever possible. If your current approach is creating problems (documents in the wrong place, version control issues, no clear ownership) then we will flag it and suggest practical improvements, but we will not impose a new system for the sake of it.
We map both document sets, identify overlaps, conflicts and gaps, and produce an integration plan before any rewriting begins. Rushing the rationalisation of two document libraries is one of the most common causes of compliance problems post-acquisition. Getting the structure right first saves significant time and disruption later.
Often, yes. Many businesses (particularly those who have used off-the-shelf template toolkits) carry far more documentation than they need. We regularly help clients strip back overlapping documents, consolidate content that covers the same ground and replace written documentation with better training or smarter use of their IT systems. Less documentation, better controlled, is almost always the right outcome.
